Processing of personal data

We want you to feel safe when you provide us with your personal data. We would like to emphasize that we comply with the General Data Protection Regulation (GDPR).

 

Data controller

Soeco Kontorsmöbler AB is the data controller according to the Personal Data Act (1998:204) for the processing of personal data.

 

When is Personal Data Processed?

Soeco Kontorsmöbler AB processes your personal data when you:

  • Purchase goods from us and we have your details to track warranty commitments and inform you about news.
  • Subscribe to our newsletter service.
  • Apply for available positions or express your interest in employment with us.
  • Contact us for other purposes, such as business proposals or purchasing goods.

 

Registered data

When representatives of a company place orders or make registrations, the following information may be recorded:

  • Name of the company’s contacts
  • Company’s registration number
  • Their position
  • Phone number
  • Email addresses
  • Invoice and delivery address

Soeco Kontorsmöbler AB may also register personal identification numbers if you, as a private individual, run a sole proprietorship and purchase products from us, or if you sell used goods to us.

On occasions when we host events and offer food and beverages, we may temporarily register participants' allergies or food preferences. This information is never stored after the event has concluded.

 

Purpose of processing personal data

Since Soeco Kontorsmöbler AB reupholsters, veneered, re-lacquers, and repairs furniture in fabrics, materials, and colors chosen from our range, and it is not uncommon for a customer to return after 3 years and want the same chair again, there is a significant benefit for us and the customer to be able to assist them with this. Our purpose for collecting personal data is solely to provide you with the warranty for products and, in the future, offer complementary furniture in the same fabric/color as the previous purchase. Another purpose is to send you information about news and offers from the company.

When you apply for available positions, submit interest inquiries regarding employment, participate in surveys, provide details for benchmarking, or wish to be contacted by us, we use your personal data only for the purposes you intend.

For employees, we may store notes to promote the employee’s development and career within the company. All notes concerning employees are signed by the employee themselves as approval.

 

Disclosure of personal data

At an event or mailing, information such as addresses or email addresses from the customer register may be shared with external parties, i.e., companies outside Soeco Kontorsmöbler AB, to the extent necessary to manage participation in a lecture, handle invitations to an event, or send a newsletter. They may also be shared with third parties if you give your consent to facilitate connections with valuable contacts. However, we never disclose our customer data to third parties who have the right to use the data for purposes other than those we have requested from the supplier.

In all of the above cases, Soeco Kontorsmöbler AB is the data controller, and the suppliers we use are data processors. The suppliers are required to follow Soeco's instructions and are not allowed to disclose your personal data to others or use them for purposes other than those covered by Soeco's instructions. The suppliers are also required to take certain technical and organizational measures to protect your personal data.

Personal data may be disclosed in cases where authorities request access to our customer and supplier register if required by law, regulation, or governmental decision.

 

How long is the data retained?

We retain your personal data as long as necessary to fulfill our commitment, i.e., to provide services, warranty obligations, support, products, invoicing, lectures, handling complaints or claims, etc. If you, as a customer, consent to the use of your contact details for marketing purposes, your data will remain until you request to have it deleted.

 

Access to records and corrections

Once a year, you have the right to request a free extract of your personal data held by Soeco Kontorsmöbler AB. Submit your request for an extract to our data controller. If you believe any information is incorrect, please contact the data controller to correct the details.
